Overview

Once the request workflow is configured, launch the request workflow to create the workspace in the configured external system.

Request Workflow Wizard

  1. Click the Plus sign on the top-right corner of the screen to launch the workspace wizard.

  1. In the Request Workflow window, select the workspace dialog from the drop-down in the top right corner. The workspace dialog configuration is displayed.

Note: The workspace drop-down dialog is displayed if there are more than one workspace dialog configured in the workspace wizard configuration.

The panels, panel names, and the metadata (fields) in each panel are determined from the Panel, Unique Metadata, and System Metadata configuration in the workspace wizard. The metadata values are populated from the data entered in Metadata>Manage.

  • Select the client and matter. CAM automatically generates a name for the workspace based on the format specified in Workspace Name Rules and Format. By default, workspaces are named using the format "@ClientId@- @MatterId@\ @MatterName@". See Create Workspace/Folder/Docs for more configurations you can use.

  • Enter the matter. CAM will pull in the client automatically. If no client is set, it will leave it empty to fill.

  1. Enter the information in all the panels.

  2. Click Next to proceed to the next panel.

  3. Click Finish to update the workspace. An additional Approval step may be required, based on the user access assigned when creating the workspace. The status of the approval can be tracked in the Approvals tab. The job progress of the created workspace can be tracked in the Jobs tab.

The Workspace wizard is divided over the following screens, which must be completed sequentially. The fields available in each panel are based on the unique metadata assigned during the wizard configuration.

Note: By default only the Security and Review panels are displayed in the wizard. For the other panels to be displayed, unique metadata must be assigned to the panels during configuration.

  • Basic: Specify where the workspace should be created.

  • Workspace: Specify the metadata values to be applied to the workspace.

  • Security: Specify the default security to be applied to the workspace

Note: You can hide the option “Invite Guest User Option“ by disabling an option in the security panel.

  • Add to Matters: Select users that should have a shortcut to the workspace in their My Matters.

  • Review: Confirm your selections from the previous setup screens before submitting the job.

  • Notification: Select a list of users who should be notified when the workspace is created.

  • Approval: Submit a workspace request for approval. A user specified as an approver can then either approve or deny the request.

Tip

Best Practice: During the entire process, make sure to give a few seconds for the template(s) to load at each step. Clicking Next before the templates have loaded can corrupt the process.

Note: When creating a workspace in iManage, the Boolean metadata values for the custom fields can only be passed as TRUE/FALSE.

Tip

Best practice: It is highly recommended that users clear their browsing cache periodically in order for Workspace and Team unique identifiers to be linked properly when running provisioning jobs.

Default Security

Allows you to add the user/groups in the Security panel.

Tip

Best Practice: It is highly recommended to have a plan to apply security either by Inclusion or Exclusion and to make sure that the security control has been created before adding users or groups.

  • Inclusion control type. The user is not allowed to modify the security. CAM displays a message as follows:

  • Exclusion control type. The user can modify the security to a certain extent. Adding excluded users or groups is not allowed. The excluded users/groups are highlighted in Red color and the Next button is disabled. The following screen displays:

Once the user removes the highlighted user/group, the Next button will be enabled.

Note: In Grant access workflow, fetching a created user id from criteria in security control and provides the same user id under security while creating the M365.

Notification Panel Setup

Allows you to select the Users to notify when the workspace is created.

For new tenants, metadata and an email template will be created by default. However, existing tenants created before September 2020 need to follow steps to set up the notification.

Steps to setup Notification:

  1. Configure Metadata:

    1. Go to Administration -> Metadata

    2. Click hamburger (blue star) menu  and select Add Metadata

    3. Add the below 2 metadata. Read more about configuring Metadata.
