Using FileShare in CAM

Once FileShare is configured and setup, you can use FileShare in these places in CAM:

Bulk Assignment

  1. Open Bulk Assignment from Administration-> Bulk Assignment.

  2. Select the Fileshare system.

  3. Click Fetch.

  4. Select one or multiple records to update the matter or client assignment on.

Matters/Workspace tab

  1. Select a matter workspace that is on the fileshare.

  2. Click Manage from the Actions menu.

  3. Choose a template and that can be applied to that folder on the fileshare.

Directory

  1. Select an object that is on the fileshare.

  2. Click Manage from the Actions menu.

  3. Choose a template and that can be applied to that folder on the fileshare.

Fileshare also supports the Project Team functionality whenever the user selects a matter from Directory.

Data Uploader

To set the Appsettings, follow the below steps.

  1. Open up the AppSettings.config in C:\Program Files (x86)\Prosperoware\Prosperoware Data Uploader\configs file path.

With the SkipLeadingZeros setting found in the AppSettings.config file, leading zeros in folder names can be skipped when syncing folders. The default value is set to false.

  1. The Token Endpoint is in Line 3 in AppSettings. This sets the API token URL.

  2. ClientUI is in Line 5 in AppSettings. This sets the s3 UI URL.

  3. DocumentAnalysisServiceEndPoint is in Line 7 in AppSettings. This is for PIIS.

  4. Show File Share is in Line 9 in AppSettings. Enable this to true for the fileshare integration.

Request Workflow

  1. Open Administration → Request Workflow.

  2. Open and edit a Wizard.

  3. Add a unique metadata field.

  4. This metadata field should be set up as:

    • Metadata name: File Share.

    • Display Label: File Share.

    • Help Text: File Share.

    • Type: String

    • Lookup: Yes

    • Lookup type: Internal

    • Create new value: No

    • Panel: select the panel of your choice.

  5. Save the wizard and metadata.

  6. Then in the Workspace Wizard, the Fileshare can be selected in addition to the other unique metadata required.

Info: Once an approval for a FileShare has been requested, the approver can adjust the FileShare system if needed.

  1. Select a request from the list.

  1. Click on the pencil icon.

  1. Click on the dropdown and select the FileShare.

  2. Click on the checkmark to save the selected FileShare.

  3. Click Approve.

  1. Select Approve to confirm the approval. A comment can be added if needed.

 

Directory

  1. Open a fileshare from the directory.

  2. Hit Matter Team and Security.

  3. The security of the fileshare can be added, edited, or removed here.

Template Editor

  1. Select a template or create a template with the Fileshare.

  2. Select the template from the Template Tree in the left pane. The Template availability options are displayed in the right pane.

Default

Sets whether the template is default or not in the system. You can only have one default. The default template will have a green checkbox icon next to it in other pages.

Basic

Enter a custom name for the template.

Select the Fileshare from the Select System drop-down. This will ensure all the metadata from the selected external system is available to apply to the   within the template.

Availability

Specifies from which CAM dialogs the template will be available for selection

Metadata Filters

Based on the filters specified here, the template will be available for selection in the Manage Folder dialog when the metadata of the selected workspace or folder matches the value added here.

  1. Click the Add Filter button. To assign a metadata, either click the drop-down menu and select from the list or manually enter the value, which will auto-complete if it is assigned in Administration>Metadata.

  2. Set a default value for the metadata filter and click Save.

  3. To delete a added filter click the Remove button.

 

Controls Center

  • Create a Control that selects the system File Share.

Edit Security

Analytics can be used to edit the security of those documents, folders of a fileshare, and those who can access them.

  1. Select the Fileshare system from the drop-down in the top-right corner of the Security Update dialog.

  2. In the left-hand side panel, click on the required drop-down to Add/Update or Change the Default Security.

Add Users or Groups

  • Select Users - All the users from the selected system are displayed. Select from the list or manually enter the value, which will auto-complete if the user is added to the repository.

  • Select Groups - All the groups from the selected system are displayed. Select from the list or manually enter the value, which will auto-complete if the group is added to the repository.

  • Select Role - Select the role to be updated for the selected user/group

Remove Users or Groups

  • Select Users - All the users from the selected system are displayed. Select from the list or manually enter the value, which will auto-complete if the user is added to the repository.

  • Select Groups - All the groups from the selected system are displayed. Select from the list or manually enter the value, which will auto-complete if the group is added to the repository.

Change Default Security

Select the default security to be updated for the selected system.

  1. Make the necessary updates and click +Add to add the action for the update. The updated action is displayed in the right-hand side panel.

    1. To remove an added action from the update list, click x Remove.

  2. Click Next to submit the change.

  3. Job Name reflected as Security Update.

  4. Select the Update value to update folders/documents.

Fileshare Naming Note

Any files imported using the Fileshare app with invalid Windows characters like backslashes (\) will be escaped in the name. For example, if a workspace is named as: 4555\ClientName\5555 the application should create the folder and return it like this: 4555_ClientName\5555. Note this change only works with new data.
