Project Import
If a person needs to do a large client transfer for 2+ matters, they can utilize the new Project Import functionality to bulk import large amounts of documents for multiple matters at once. Metadata can be assigned accordingly.
Permissions
The current user must be in the NRTAdmin group to use Project Import.
Importing into a project
Click the Import Project icon in the Work Explorer window. In the dropdown menu, select the Import Into-> Your Target environment. (Each environment you have will show in the list)
2. Then, the window for Project Import opens.
3. Click Add Folder to load up a folder.
Note that up to 9,999 folders will be counted as the total folder count of a workspace here.
For each folder, you can bulk assign a destination by clicking the three dots in the Destination column, and it will fill down for each document in the folder.
Similarly, any document’s destination individually can be set or changed by clicking the three dots.
4. In the Select Destination window, users can additionally set the Default Metadata values and set Import options such as:
Omit Root Source Folder: Set destinations on the selected source folder’s contents but not the source folder itself, i.e., import the contents directly into the import destination.
Create Default Folder: When importing into a workspace or tab with Omit Root Source Folder enabled, create a new folder with the specified name at its root and set it as the destination of any root-level files.
Overwrite Existing Metadata: Overwrite any existing metadata assigned to the source items with the default values from the import destination.
5. Click Select.
The Relative Folder Path and Target Container will update dynamically after the Destination is set.
Scrolling right on the documents window displays the metadata of all the documents. Click any of the three dots to modify the metadata like class, author etc. The API will pull the relevant fields from the iManage system.
To change file dates for create or edit, click Reload File Dates in case they have changed since the last time the project was loaded.
Clicking Reload Email Metadata will load any PST/Email metadata if those files exist.
6. If you’ve changed the Metadata or set the destinations for files/folders and you made a mistake, you can do two things to revert:
Click the Undo arrow to undo a change to the Metadata (or Redo to redo a change you had previously entered).
Click Clear Destinations/Metadata to revert all changed Destinations or Metadata.
Metadata columns are shown based on the document profile field visibility settings on the server. Clicking Show Hidden Fields displays all document metadata columns regardless of the visibility settings.
The owner can be changed with the Folders option. The owner setting always defaults to the current user. You can only select enabled users as an a owner. When you run an import job that creates folders, the owner of the new folders matches the user selected in the “Owner” setting.
When importing files with unknown extensions:
Work now automatically sets the type based on the file extension and will create a new file type for unknown file extensions as long as no type is provided. However, when performing a supervised import (used by Project Import and CSV Import) to an on-premises server, the type is still required.
For Project Imports, this is handled by assigning a default file type of ANSI to any file with an extension that’s not registered in the target library.
Saving a project for later
Click the Save As Button to save the project locally on your system for later. For example, if the firm is doing a migration over time, and the users need to come back to the files or folders to import, then Project Import is useful for them.
If you’ve already saved the Project in a location, clicking Save will save any modifications.
Reload will reload any files and changes in the Source into the Project.
Clicking Open Project from the main Work Explorer allows users to open the Project later.
Queueing a Job
Click Queue Job to begin the Job.
2. Another dialog opens:
3. Enter the name of the Job.
4. If you choose to exclude empty folders or specific filetypes, check the boxes.
5. The Job Summary displays the counts of folders and files based on the project and selection criteria.
6. Click Submit to send the job for processing.
7. If you have not assigned a destination for some of the files, the system warns if the user wants to skip importing the files.
8. Click Yes to Continue. No to stop and go back to set destinations.
9. If yes is clicked the job is queued switch back to the main PowerDesktop Job window and you will see the job with type Project Import.
9. The job displays the Import rate of the Project job of documents per min.
