November 2024 Release

Updates to Provisioning

Cloud iManage users now have the ability to update or disable users on a global level in CAM so that admins can easier assign users on other databases and libraries, and delete on a global level once. User properties can also be passed on the global level across databases and libraries.

  • A new parameter is supported in CAM for applying this change, isglobalusermanagement.

Analytics Improvements

Analytics supporting functionality was added so users can exclude specific users from reports, and search for Legal holds inside reports.

  • Operators now include the Not Contains operator, and users are an allowed field for the operator.

  • Entity fields are improved so that the display name and description can be edited in the panel, when previously they were not editable. Entity fields have an isenabled toggle to filter by in the panel.

  • Legal holds can be searched in Analytics by using the on_legal_hold field, giving users insights into Controls Center.  

Data Uploader Support for iManage users

iManage firms can now determine if they want users to be imported from iManage instead of Active Directory in Data Uploader. If they want to provision them using iManage, they can apply the skipupdateifexists parameter to skip importing with AD.

Improvements to Logs

We’re now supporting logging API unit cost for NetDocuments logins and token renewals. This is so ND firms can track more usage to control their costs.

Additionally, the Declared as Record action is now added into the logs when run, as previously, this action wasn’t logged before.  

Permission Changes

The permission View Update Tenant Settings is now available for all license plans and add-ons, so that admins can properly see the Administration-> Settings panel, as well as the Tenant Panel where firm changes for CAM are made.

October 2024 Releases

  • Business Continuity improvements: Searching for documents and downloading is enhanced.

  • Template Editor availability setting additions: Availability settings for Template Editor were enhanced to allow additional metadata filters to be set. E.g. if the client wants to use the Database metadata to filter out templates, then those matching templates will show up in the dropdown list.

  • Service Desk: Additional default security support to make it easier to view default security.

  • Data Sync Advancements: A new Microsoft 365 sync was added to Data Sync so that customers can sync data to the systems without being resource intensive and expensive. Elastic indexes make results appear quicker in searches and queries.

  • Null and empty field support: In Data Sync null and empty fields are now supported to be updated if needed to those values. Clients’ other systems like PMS’s may require a null or empty field in certain metadata.

  • Multiple client fixes were released from the following modules: Analytics and Data Sync.

August 2024 Releases

  •  A new Microsoft 365 sync is created in Data Sync so that large customers of scale can use Data Sync without having it be cumbersome, resource intensive or expensive. When a full or incremental sync occurs, S3 files are created for all the containers (folders, workspaces, M365 content like channels, sites etc) in the client’s stack and an elastic search entry is added for indexing.

  • Null and empty fields in iManage are now supported in Jobs to allow them to be updated to those values if needed. For example a closed date in the PMS can be null sometimes, so CAM now will handle that Null gracefully.

  • A script is available to scan through workspaces to see which documents are not added into the new S3 bucket, and to kick off a reprocess job. This alleviates issues when the document sync messages get purged after the 14 day SQS limit. If necessary, Devops can run this script or share instructions if your firm requires this script.

  • Analytics Security Results: The Search results for users and groups was improved to display the Security results right from the page. JSON fields also will dynamically display. Customer requests to show the group names rather than just the ids also was added. They no longer have to find the id first, and then run multiple queries to modify or view security.

  • Multiple client fixes were released from the following modules: Analytics, Commands, Request Workflow, Jobs tab and Data Sync.

February 2025 Releases

Accessibility and User Interface Improvements

·       Alt image descriptions and titles have been added in the CAM Administration, Overview, Controls Center, Content Mover, Data Sync, Directory, Downloads, Jobs tab, Metadata, Request Workflow, Source System Configuration, and Users and Groups for accessibility screen readers and other purposes.

·       The Source Systems panel has a new look and filtering capability to make it easier to see your source systems and find the ones you need to look at. Many firms will have quite a few source systems and maintaining them will be easier.

Metadata Disabling

·       Metadata in Provisioning can be disabled via CSV by appending ?false onto the column.

Notification Caching and Checks

·       Caching for Background Job email notifications is added to prevent duplicate email notifications from being sent out at once. This runs every 5 minutes and checks if a duplicate email is already in the queue.

·       Additionally, if an authentication error appears 10 times within 20 minutes, authentication failure emails will be sent after that time. This eliminates issues with clients being ‘spammed’ with multiple emails each couple of minutes or multiple emails for the same error.

Linked Workspace Improvements

·       Link Workspace jobs are now treated as background jobs, and this panel is enhanced to handle the logging and management of these jobs.

·       Changes to Template Editor behavior for the deletions of templates and linked workspaces have been made. Read here for details.

Provisioning Validations for Workspace Creations

·       Whenever the iManager indexer gets overloaded, CAM does a validation if it cannot locate a workspace using the unique ID, it then searches using the workspace ID. This eliminates issues where CAM would potentially duplicate the workspace since the indexer could not find the workspace.

January 2025 Release

  • Advanced Options for Custom Folders include features like enabling and defining a global prefix or suffix using metadata tags, allowing end users to easily add these to their folder names. Additionally, users can set default security settings and manage specific access lists to control who can access their folders.

  • iManage Move Operation rules​ – to assist in the completion of Workspace moves, admins will be able to define a default User in the scenario where the Author or Operator from the source database is missing in the target.​

  • Numerous accessibility UI changes have been made to CAM’s External Systems tab, Jobs tab, and Workspaces tab including:

    • Changing text to higher contrast ratios that meet or exceed the required text contrast minimum of 4.5:1.

    • Changing non-textual backgrounds to higher contrast ratios that meet or exceed the required image contrast minimum of 3:1.

    • Changing the focus of controls or elements when selected to have a background or change in focus so users can use the tab key or other methods to focus on a control button.

  • When a user deletes a template, a new warning will appear if a linked workspace (active or deleted) is linked to the template, and will display those workspaces to remove the linkage if desired or to export, or cancel the operation.

Updates for CAM Commands

  • The Manage Folder and Move Workspace commands have been enhanced with some requested features to make it easier to use without causing additional work for the user.

  • CAM will show a success message when iManage takes a longer than normal time to process Manage Folder command data. If any timeouts or other issues occur, those will still be logged accordingly.

  • If a target workspace exists when performing a Move Workspace, CAM now will merge the two together. This eliminates issues with duplicates or failed jobs because of the target existing already.

  • Three options from the Move command are hidden when a user moves a document or folder within the same database or cabinet to remove confusion from users as these options are not used in the dialog. If the document or folder is moved to another database or cabinet, then the options are still displayed.

    • Copy history of documents field

    • Handling source after move field

  • New permissions are added to the Move command to allow firms to control which users can see and move security, or metadata.

Dashboards Improvements

Modifications were performed on the dashboards entities panel to make it easier for customers to use dashboards, by making entities fully out of the box, and prevention of those entities so users cannot accidentally add/delete or modify them.

External System Notifications

  • If a problem occurs with an External System authentication or the system is found to be unhealthy, a new email notification will go out to the CAM admins registered for the client’s tenant to notify them of the issue(s) immediately. This addresses the lack of prior communication when an external system loses connection and errors out. Read about this functionality here.

  • CAM now supports Entra ID for configuring SharePoint sites in the Office365 External System Panel. Enable the setting as described here and enter the appropriate fields that display. A benefit of this change is that firms don’t need to re-register the app after a year as they had done before with Azure ACS.

Permissions and Settings updates

  • For NetDocuments, a new permission is added to control user access of freezing the Security ACL on workspaces, folders and documents. By default, this permission is not enabled.

  • The Administration->Settings-> Service Desk Panel is redesigned to be easier to navigate and use.
