Configuring Standard Template Structure

In any law firm, it is important to have documents streamlined and available in one centralized storage with a familiar folder structure. Each user may tend to create a generic folder structure and further create subfolders to store client documents. Navigating and locating documents through such a hierarchy is difficult. CAM overcomes the search-associated problems with Template Editor which not only allows for the automatic creation of workspaces with standard folder structures but also gives end users the ability to create on-demand folders based on the configuration setup.

Planning

Before you can start using the folder templates, all interested parties must discuss the extent to which workspaces will be standardized. This includes:

  • Determining a core set of mandatory folders that will be present in all workspaces.

  • Identifying all unique folder structures used within the company/firm.

  • Determining which metadata should be set on folders.

  • Deciding on who should be able to create folders and at what levels.

  • Agreeing on the naming conventions to be used for workspaces and first-level folders.

With the above information in hand, an administrator can then move on to creating and testing Template Editor.

Folder Templates

A folder template defines the structure, naming conventions, metadata, and security of a workspace.

  1. Administrators can create and manage templates through the Template Editor, which is accessible from the Administration Menu.

  2. After the new workspace is created in CAM, all folders defined in the specified template are added to the new workspace and, if the template also specifies metadata or security settings, those are applied as well.

  3. Workspaces and folders that have been created from templates can be auto-updated to match the current template settings.
